The most advanced feature of the workflow tool is the integrated Smart Scheduler. The way it works is that every workflow is based on defining a set of steps. Each step is assigned a required skill level(s) that is matched against each employee’s designated skill set. “Smart weights” are used to establish scheduling parameters such as cost sensitivity (staff cost), client experience, client personnel preferences, etc. These are all used to assign personnel to an engagement. This is a pretty sophisticated process that offers a lot of potential to improve your practice, but it would be prudent to talk with a current user before you deploy it in your practice.

Client Portal -- 4 Stars
The portal features are comprehensive. All documents posted to the portal are copies of the original to further maintain the integrity of the original. When a client is added to the portal, a folder template is established that includes both public (client) and private (individual) level folders. That way, if you want to post documents that only a particular individual can access (i.e., an officer’s personal tax return), you would post it to his or her private folder. A helpful report shows which clients have a portal account established. E-mail notifications are generated when a client loads a file through the portal to alert the staff. Doc.It takes a copy of the image and puts it onto a stand-alone PC that resides inside the firewall off the DMZ port but outside of Windows Security. Clients only require a link in off the website and, through an SSL connection, can access documents after entering an ID and password.

Doc.It is based on a SQL database. The vendor plans to develop it in the .NET platform at a future date to be determined.

Pricing/Overall Value -- 4 Stars
Doc.It uses a relatively straightforward all-inclusive pricing model with a one-time base fee of $150 per user ($1,500 minimum). There is an additional monthly fee of $35 for the first 10 users and $30 per month for the next 20 users. This pricing includes all software applications, technical support and SQL licensing. Overall, Doc.It is a very comprehensive solution with a robust set of features and functions. If you are serious about transforming your workflows to a truly digital model, then you owe it to yourself to take a close look at the Doc.It solution.
